Connect Exchange It to Zapier (Beta)

Connect Exchange It with thousands of apps through Zapier so return events can trigger automated workflows. Use this when you want returns activity to flow into other tools you already use.

Where to find it

Open the Exchange It admin, go to Settings, and find the Zapier Integration (Beta) card.

Set it up

  1. In the Zapier Integration (Beta) card, generate your API key. The key is created for your store and shown in full only once, so copy it immediately using the Copy button before leaving the page.
  2. After the key is generated, the card shows only the last four digits (for example, ••••••••1234) as a reminder that a key is active. The full key value is not shown again.
  3. Install the Exchange It Zapier app using the install link provided in the card, then paste your API key into your Zapier connection settings when prompted.

When a key already exists, the card gives you two controls: Regenerate Key and Revoke API Key (see Managing and revoking below).

Connect it in Zapier

The card provides a link to install the Exchange It Zapier app. After generating your API key here, open that link, install the app, and paste your API key into your Zapier connection settings. Sample payloads are available in Zapier when you configure your Zap.

What each trigger sends

Six triggers are available: Return Requested, Approved, Declined, Inspected, Resolved, and Cancelled.

Each trigger delivers a payload describing the return. Key top-level fields include:

  • id, exchange_it_return_id, status, and source
  • Timestamps such as requested_at, approved_at, and cancelled_at
  • Order details: order_id, order_name, order_created_at
  • Customer details: customer_email, customer_name, customer_id
  • Handling fields: exchange_method, refund_method, return_note, restocking_fee_applied, restocking_fee_amount, shipping_method, shipping_company, shipping_label_url, is_archived, and has_exchange_request

The payload also includes nested products (per-item details such as product_title, variant_id, sku, quantity_returned, return_reason, requested_resolution, approval_status, and exchange-related fields), a refund_summary (with fields like discounts_applied, total_discounts_amount, taxes_applied, total_tax_amount, shipping_applied, shipping_amount, return_fee_applied, and return_fee_amount), and exchange_details (variant_id, variant_title, quantity, price, and image_url).

What changes when you turn this on

Generating a key stores an API key for your store and records its last four digits so the card can indicate an active key. This key authorizes your Zapier connection to receive the return-event payloads described above.

Managing and revoking

  • To replace the current key, click Regenerate Key. A new key is generated and shown in full once (copy it and update it in Zapier); the previous key stops working.
  • To disconnect completely, click Revoke API Key. This clears the stored key and its last-four reference so the key can no longer be used, and the card returns to its initial state.
