Add Notes and Tags to Exchange Orders

Use this settings group to label the exchange orders Exchange It creates with an automated note, an optional custom note, and one or more tags—so exchange orders are easy to identify and reference back to the original order.

Where to find it

Go to Settings > Quick Exchanges > Exchange Order > Exchange Order Note & Tags.

Set it up

1. Apply a automated note to the exchange order — When enabled, an automated note is added to each exchange order and the note text field below becomes editable. This is enabled by default.

2. Note included with exchange order — The automated note text added to the exchange order. You can use the variable {original_order_name} to include the original order name in the note. The default is Exchange for order {original_order_name}. This field is only editable while the automated note option above is on, and the app validates that curly-brace counts match.

3. Add both automated and custom exchange order notes — When enabled, both the automated exchange order note and a custom note are added to the exchange order rather than only one. This is off by default and only becomes available while the automated note option is enabled.

4. Add a tag to the exchange order — When enabled, a tag is added to the exchange order and the tag text field below becomes editable. This is enabled by default.

5. Tag included with exchange order — The tag(s) added to the exchange order. The default is Exchange. Use a comma to add multiple tags, for example exchange,return,complete. Each tag is limited to 40 characters and special characters are not allowed. This field is only editable while the tag option above is on.

How these settings work together

The automated note toggle controls two things. First, it enables the Note included with exchange order text field—the field stays locked until the automated note option is turned on. Second, it enables the Add both automated and custom exchange order notes checkbox, which remains disabled until the automated note option is active.

Similarly, the tag toggle enables the Tag included with exchange order text field, which stays locked until the tag option is turned on.

What changes when you turn this on

Your choices are saved to the shop's app settings and read back when exchange orders are processed. With the automated note enabled, the saved note text (with {original_order_name} resolved to the original order name) is applied to the exchange order; enabling the "both" option adds a custom note alongside the automated one instead of just one. With the tag option enabled, the saved tag value—split on commas into individual tags—is applied to the exchange order.
